Securities Clerk

Major Responsibilities:

GENERAL ACCOUNTABILITIES:
The Securities Homeowners, Life & Auto Clerk is responsible for: -

  1. Effective and accurate insurance tracking procedures. Performs basic loan maintenance functions and various duties related to ensuring the accuracy and security of home escrow, independent home collateral documentation, life insurance (including escrow) and auto insurance.
  2.  Ensuring that an effective control process is in place to comply with the Bank’s securities policies, procedures and practices.
  3.  Fully complying with the Bank’s Security Policies as outlined in its Security Policy Manual and always upholding the Bank’s Customer Service Standards and Code of Ethics.
  4.  Ensures all service (document tracking and escrow) procedures are carried out, following up with the Service Charges Companies for updated statements.
  5. Reviews daily new consumer loans

ESSENTIAL DUTIES AND RESPONSIBILITIES

DAILY

  1. Inputs all homeowners, auto, and life insurances for new (consumer, CLAs and Mortgage) loans in the system and confirms they are in order and that all documents for tracking are added to the digital application in the Collateral section.
  2. Ensures all Homeowners and Life Insurance Tracking (Escrow and independent collateral) procedures carried out, follow-up with Insurance Company for renewals/policy.
  3. Responsible for the identification of out of order accounts for exceptional reasons and ensuring that they are accurately recorded on the Return of Irregular Accounts Report (RIA).
  4. Ensures (RIA) is prepared and submitted to the ABM by the 10th working day, identifying all out of order accounts.
  5. Reviews Homeowners and Life Insurance and Auto Tracking reports to ensure that insurance expiration dates are properly set up in the Collateral System for tracking of insurance premiums on all new and existing loans (consumer and mortgages)
  6. Ensures the proper follow up is carried out for the timely receipt of Homeowners, Auto and Life Insurance documents for all (Independent) MLA’s & ILA’s.
  7. Ensures all Homeowners, Auto and Life insurances policies are renewed as per policy and submitted electronically to the Insurance Company(s).
  8. Verifies Homeowners, Auto and Life Insurance security on all mortgage loans to ensure adequate coverage is provided and the policy is properly assigned.
  9. Acts as file custodian to ensure that security files for all products (ILAs, CLAs, MLAs) are properly secured.
  10. Ensures that maintenance is prepared for input as required.
  11. Ensures the following documents are filed and/ or uploaded to NewGen System as applicable: Insurance Dividend/ Encashment & Loan Request.
    1. Insurance Requests
    • Maintenances
    • Life Insurance Renewals
    • Insurance Co. correspondences
    • Death Claims
  12. Confirms all home security, auto and life insurances have been verified and authorized, if all is in order or exit with modifications’, listing all irregularities and out of order conditions.
  13. Prepares and submits for authorization, all manual maintenance forms, when necessary, to be posted by the data processor and uploads a copy in the digital application.
  14. Prepares all relevant correspondence for customers relating to all insurances.
  15. Contributes to the learning of others through peer coaching and mentoring, proactively sharing expertise experiential learning, and supporting the learning journey.
  16. Strives for error free work.
  17.  Assists walk in customers as required with (but not limited to):
  • Auto insurance payments
  • Life Insurance loans, Dividends, Cash Surrender Value, Encashment Requests
  • Deletion of interest letters (life, auto, homeowners)

OTHER DUTIES

  1. Assists with the filing of the department’s work.
  2. Backup Deed & Real Property Tax Clerk/ Service Charges.
  3. Assists with verification of security and puts complete loan files together.
  4. Assists with other duties in the department daily, to ensure proper completion before leaving for the day.

The Securities Homeowners Clerk performs and assumes any other duties/responsibilities as assigned by Management.

CUSTOMER SERVICE

  1. Demonstrates ownership of complaints, voiced by customers.  Achieves Commonwealth Bank’s problem, acknowledgement, and resolution standards, all the time.  These standards include 
    a. Recording details of the complaint when received; through the Operations Department
    b. Ensuring resolution within 24 hours or the agreed to time frame, using your authority appropriately and referring situations,    outside this authority immediately.
    c. Apologizing to customers when they are inconvenienced in any way.
  2. Ensures that every customer interaction reflects “service excellence” behaviors:
  1. Be professional and ready to serve.
  2. Warmly greet the customer and use their name during each transaction.
  3. Take ownership and provide excellent service.
  4. Ask if additional assistance is needed.
  5. Thank the customer for their business.


PERIODIC DUTIES

The Securities Clerk performs and assumes any other duties/responsibilities as assigned by Management.


Qualifications, Skills and Experience:

Minimum of two (2) years at Grade 9
Last two (2) performance appraisals must have been satisfactory at 95% or better
Prior cross training in the new position for at least (3) months before assuming the post.
No active written disciplinary warnings (within a 12 month period) on their personnel file and must not be on disciplinary probation.
Strong customer service skills and commitment to Service Quality
Ability to interact with others in a respectful, professional and cordial manner
Required to have good knowledge of the Bank’s products and services in order to be able to respond to customers’ inquiries, concerns and requests.
Ability to work on own with minimal supervision
Excellent verbal and written communication skills
Excellent leadership, organizational and time management skills
Excellent work ethics, punctuality and attendance record
