Administrative Assistant, Training & Organizational Development

Major Responsibilities:

ESSENTIAL DUTIES AND RESPONSIBLITIES:

The Administrative Assistant, Training & Organizational Development (TOD) plays a critical role in ensuring the smooth day-to-day operations of the Corporate Learning Centre (CLC) and the Assistant Vice President (AVP)’s executive office. This position requires discretion, initiative, and strong communication and coordination skills. The successful candidate will manage scheduling, assist with department projects, and coordinate internal development efforts with a high level of professionalism and confidentiality.

CORE RESPONSIBILITIES

  • Executive and Administrative Support

    • Manage the AVP’s calendar, schedule meetings, and arrange logistics for internal and external engagements.
    • Draft, format, and edit correspondence, reports, PowerPoint presentations, and strategic documents.
    • Handle confidential communications and serve as liaison with internal and external stakeholders on behalf of the AVP.
    • Track and follow up on departmental deadlines, task completions, and recurring obligations.

    Support for Executive and Strategic Training Initiatives

    • Assist with the scheduling, logistics, and preparation of executive-level training sessions, retreats, and workshops, including room bookings, refreshments, materials, and AV setup.
    • Coordinate RSVPs, calendars, and communication with senior leaders, facilitators, and external partners.
    • Prepare executive reports, PowerPoint decks, and summary documents for key development programs.
    • Track deliverables and ensure all materials for executive workshops and training programs are prepared, submitted and approved for distribution and/or use.

    Development Department Support

    • Coordinate Development department meetings, including preparing agendas, capturing minutes, and following up on assigned actions.
    • Maintain updated tracking of candidate movement letters and files, participation and exit and entry into the program, coordinate pre, mid-point and final assessments, and progression timelines.
    • Liaise with Human Resources Department, Retail/Operations and candidate managers, or mentors, and development participants to ensure smooth flow of information and documentation.

    Decentralized Training & Conference Reporting

    • Track training activities and expenses across departments and business lines not managed centrally by the CLC.
    • Track submissions of conference participation reports and document learning outcomes.
    • Ensure alignment of decentralized training with the bank’s strategic learning objectives and reporting standards.

    External Vendor & Trainer Coordination

    • Coordinate logistics and communication with local and international trainers or consultants engaged by the Bank.
    • Track invoicing, training delivery dates, and ensure timely documentation for payment processing.
    • Liaise with the FBP to verify billing accuracy and support budget alignment.
    • Track TOD contracts and maintain a database of approved training vendors, past engagements, and payment history.

    Data and Reporting Support

    • Assist with the preparation and submission of monthly and quarterly departmental reports.
    • Support budget tracking and manage documentation related to expenses, petty cash, and vendor coordination.
    • Pull reports from internal systems (DOCEBO, CRYSTAL Reports,) for training records, attendance, performance tracking, and audit preparation.
    • Track annual regulatory training and examination requirements and maintain accurate records for corporate governance reporting.

    Technology and Design

    • Use Canva, SurveyMonkey, Microsoft Suite including Forms, Sharepoint, PowerPoint, Excel, and Word to produce professional visual content, templates and evaluations.
    • Maintain shared folders and digital repositories with version control and logical file management.

Qualifications, Skills and Experience:

  • Associate’s Degree or higher preferred.

  • Minimum 3 years’ experience supporting an executive or in a fast-paced administrative role.

  • Experience working in learning and development, human resources, or a financial services environment is an asset.

  • Strong administrative skills and advanced knowledge of MS Office, particularly Excel & Word.
